This may include information about injuries, medical conditions, pregnancy, medications, mental health, accessibility needs, contraindications, previous experiences and relevant physical or emotional wellbeing.
We collect sensitive information with your consent, or where collection is otherwise permitted or required by law. Please provide only information that is relevant to your participation. Health information is not used for marketing without your express consent.
If you do not provide information reasonably required for safety or suitability, we may be unable to provide a particular class, session, event or service to you.

If you provide us with another person’s information, please ensure you are authorised to do so and that the person understands how their information may be handled.
5. Why we collect, hold, use and disclose information
We may handle personal information to:
provide and administer classes, memberships, courses, events, retreats, private sessions and online offerings
manage bookings, payments, refunds, attendance, waitlists and customer accounts
assess suitability for an activity, respond to health or safety concerns and provide appropriate support
communicate preparation, reminder, follow-up and integration information

6. When we share information
We may disclose personal information only where reasonably necessary to:
teachers, facilitators, contractors and team members who need the information to provide or support your service
booking, membership, payment, ticketing, website, email, video-conferencing, cloud-storage, community, analytics and communications providers
venues, event partners, collaborating studios or retreat providers involved in delivering an offering you book

government bodies, regulators, law-enforcement agencies or other parties where authorised or required by law.
We do not sell or rent personal information. Where practical, service providers are given only the information needed to perform their role.
7. Third-party platforms and links
Our services may use third-party platforms for bookings, payments, ticketing, our website, email newsletters, online sessions, forms, community participation, social media and analytics. Those providers may collect and handle information under their own privacy policies and terms. We encourage you to review their privacy practices before using their services.
Our website and communications may contain links to third-party sites. We are not responsible for the privacy practices or content of sites we do not control.
8. Overseas storage and disclosure
Some technology and service providers we use may store, process or access personal information outside Australia. Overseas locations may include the United States and other countries in which those providers or their subcontractors operate. The particular locations may change from time to time and are often determined by the provider.
Where the Australian Privacy Principles apply, we take reasonable steps in the circumstances to ensure overseas handling is consistent with applicable Australian privacy requirements, subject to any lawful exceptions.
9. Marketing communications
We may send you information about The Pause Club’s classes, courses, events and offers where you have consented or where permitted by law. Every electronic marketing message will include a simple way to unsubscribe. You can also ask us to stop at any time through our website contact form.
Unsubscribing from marketing does not prevent us from sending service messages relating to an existing booking, payment, membership, safety matter or other transaction.
10. Photography, video and testimonials
We will seek appropriate consent before intentionally using an identifiable participant’s image, voice, testimonial or story for promotional purposes. Where group photography or filming is planned at a class or event, we will provide notice and a reasonable opportunity to opt out where practicable.
A parent or legal guardian must provide consent for promotional use of identifiable images or recordings of a child.
11. Children and young people
Where a child participates in our services, we generally collect their information from, or with the involvement of, a parent or legal guardian. We aim to collect only information reasonably necessary to provide the service safely and effectively. Parents and guardians may contact us about access to or correction of a child’s information, subject to applicable law and the child’s circumstances.
12. How we store and protect information
Personal information may be held electronically in our business systems and service-provider platforms, and in limited cases in physical records. We use reasonable administrative, technical and physical safeguards appropriate to the nature of the information, such as controlled access, passwords, secure platforms, staff confidentiality expectations and appropriate disposal practices.
No storage or transmission method is completely secure. If a data breach occurs, we will assess and respond to it and, where required, notify affected individuals and the Office of the Australian Information Commissioner under the Notifiable Data Breaches scheme.
13. Retention and disposal
We retain personal information only for as long as reasonably necessary for the purposes described in this policy and to meet legal, insurance, tax, accounting, dispute-resolution and operational requirements. Retention periods vary according to the type of record and applicable obligations. When information is no longer required, we take reasonable steps to destroy it securely or de-identify it, unless the law permits or requires continued retention.
14. Access and correction
You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us through the website contact form and include enough detail for us to identify the relevant records and verify your identity.
We will respond within a reasonable period. In some circumstances, the law permits us to refuse access or correction. If that occurs, we will generally explain the reason and the available complaint options. We do not usually charge for making a request, although a reasonable fee may apply to providing access where permitted by law and advised in advance.
15. Privacy complaints
If you believe we have mishandled your personal information, please contact us through the website contact form or write to The Pause Club at 1036 Heidelberg Road, Ivanhoe VIC 3079. Please describe your concern and include your preferred contact details.
We will acknowledge and investigate the complaint and aim to respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
16. Anonymity and pseudonyms
Where it is lawful and practicable, you may interact with us anonymously or using a pseudonym. We will usually need accurate identifying and contact information to process bookings and payments, administer memberships, respond to emergencies and provide services involving health or safety considerations.
17. Changes to this policy
We may update this policy when our services, systems, providers or legal obligations change. The current version will be published on our website with its effective date. We encourage you to review it periodically.
